Moon Accounting & Tax is the trading name of Mehreen Ajaz ACA ("we", "us"). We are the data controller for the personal information described here. Registered with the Information Commissioner's Office as a data controller under the name Mehreen Ajaz, reference ZC211878.
What we collect
- Contact details you give us when you book a call or email us: name, email address, phone number.
- For clients: identity documents for anti-money laundering checks, National Insurance number, Unique Taxpayer Reference, bank and financial records, and property and income details needed to prepare accounts and tax returns.
Why we use it and our lawful basis
- To respond to enquiries and hold discovery calls (legitimate interests).
- To provide accounting and tax services under our engagement letter (contract).
- To meet our duties under anti-money laundering law, tax law and ICAEW regulations (legal obligation).
Who we share it with
HMRC and Companies House when filing on your behalf; software providers we use to deliver the service (for example Xero, Calendly, and our email and document storage providers); ICAEW as our regulator where required; and your previous accountant during a handover. We do not sell your data.
How long we keep it
Client records are kept for at least five years after our engagement ends, as anti-money laundering rules require, and for up to seven years to cover HMRC enquiry periods. Enquiry details from people who do not become clients are deleted within 12 months.
Your rights
You can ask for a copy of your data, ask us to correct or delete it, object to or restrict how we use it, and ask for it to be transferred. Email mehreen@moonaccountingtax.co.uk. If you are unhappy with our response, you can complain to the Information Commissioner's Office at ico.org.uk.
Security
Data is stored in secure cloud systems with two-factor authentication. Documents are exchanged through secure links, not ordinary email attachments, wherever possible.
